Provide a file audit summary to agent outlining missing documents/signatures needed

Upload all executed documents to broker compliance platform or submit to broker compliance manager via email at regular intervals – active listing, contract pending, after inspections are complete, and post-close

Complete broker’s commission disbursement authorization form/checklist, request CDA and send to closer

Request closing packet and send to brokerage, ensure all docs are in agent’s digital file system,

Broker compliance packages are completed by a TC who holds an active real estate license in Oklahoma

MLS and photos upload is included however the agent will need to provide an assistant login if they are outside of the MLS Tech area in Oklahoma.

If the agent has agreed to contract to close services the fee will be payable at closing. If the agent is using listing services only the fee will be due upon the listing going active

Transaction Coordinator (TC) owns all aspects of communication, coordination and completion of transaction tasks in the areas of contract intake, HOA docs, inspections, title, lending, pre-close, and post-close.

Ensure all documents are fully executed with dates, initials, signatures, and broker information

Submit all required contract documents to broker for compliance.

Calendar all dates and monitor milestone deadlines to facilitate a smooth, on-time closing.

Communicate and coordinate with lender, title, co-op agent, and any additional vendors throughout the transaction.

Remain in contact with agent and client throughout the transaction with updates, items needed, due dates, and key milestone information.

Agent owns the role of advising their buyer/seller client, all negotiations, plus any necessary sense of urgency outside Abide TC business hours.

TC fee is paid by agent invoice upon successful closing. If the property doesn’t close, no transaction coordination fee is due.
